People Operations is the glue, enabling the business to achieve set goals. We are shooting for the stars and are on the lookout for an Office (super) Hero to join our People Operations in Madrid to take care of the team of 40 people in Madrid (and counting - the total number including Finland and Poland is soon approaching 150).

We have a bunch of stuff in store for you, to name a few upcoming highlights: moving the Madrid office, help with onboarding new colleagues in Spain, and of course, learning a whole lot about real estate every day!

What you will do:

The primary focus of this role lies in owning and developing the office administrative processes and initiatives. There is a lot of ad-hoc stuff but generally, the tasks can be divided into the three main categories:

  • Office management:
    • New office Project Management.
    • Looking after our team members in Madrid. They are all rather independent and mature professionals, and only occasionally would need your guidance ;)
    • Taking care of the office, equipment, packages, office snacks, drinks, … you name it.
    • Office admin stakeholder management: staff, cleaning providers, various suppliers, and contractors.
    • Team events and miscellaneous ad-hoc initiatives.
    • Being the go-to person for all sorts of questions concerning all of the above.
  • Executive assistance to our Management Team:
    • Managing Management Team's calendars, arranging business travels, events, occasionally handling operational paperwork, etc.
  • As a part of the People Operations team:
    • Support with onboarding and offboarding.
    • Managing and keeping up-to-date employees’ data and accounts in various registries and systems. Continuously improving and optimizing this process.
    • Maintaining and developing the employees’ knowledge base (Google Sites).
    • Supporting our international and regional operations.

What is required to succeed in this role:

  • Previous experience in office management and/or executive assistance.
  • You show initiative, ownership, use critical thinking, ask questions, make improvements, and make things happen; you take charge of a project at the stage “we need to figure this out” and get it done.
  • You are a people person with great interpersonal skills, able to easily connect with others, listen and exercise empathy.
  • You take pride in professional excellence.
  • Ability to prioritize, focus and take ownership in a fast-paced, high-volume environment.
  • Strong sense of work ethic and responsibility.
  • Excellent spoken and written communication in English, fluency in Spanish.
  • Knowledge of G-Suite administration and office tools.
  • “Get things done” attitude.
