Our global People Operations and Culture (PO&C) team consist of over 50 professionals in +20 countries. Worldwide we employ about 1700 employees, including around 50 in our New York City office.

The key focus of our PO&C organization is to create the best possible organizational, digital and physical Fellow experience for our employees. We are supporting our employees (“Fellows”), and managers with different employee lifecycle related topics. To succeed in this role, you should have a forward-looking view on HR operations and the drive to continuously develop our systems, ways of working and provide good service to our employees.

We are developing an excellent HR & Office Services offering in the USA to contribute to our Employee Value Proposition and give our Fellows an awesome place to work.

As part of F-Secure's People Operations & Culture function the HR Specialist will take care of HR Operations and Office Services tasks in our New York City Office, supporting Fellows, mainly working in Cyber Security Consulting and Sales roles.

You will work closely with the local, US-based managers and employees and you will be based at our USA office in Manhattan, New York City and as part of a global People Operations & Culture team, you will initially report to the Head of Office Services, who is based in Helsinki, Finland.

Key Responsibilities

HR Role includes

  • Drive F-Secure employee experience in the USA, ensuring that F-Secure’s global employee experience, HR compliance and culture perspectives are implemented.
  • Responsible for local benefits policies and coordination.
  • PO&C interface and point of contact for USA employees.
  • Point of contact for Insperity.
  • Responsible for local compliance (pension, insurances, payroll), vetting and wellbeing matters.
  • Support in recruitment, onboarding, exit interviews, and other employment lifecycle matters locally.
  • Coordinate initiatives that enhance work relationships and staff and retention.
  • Supports/guides with employment matters requiring local HR knowledge and/or insight with location impact.
  • Liaises with Business HR and/or Global owners and/or Legal to address any issues related to local legal compliance.
  • Active collaboration and contribution to the global PO&C processes, initiatives and/or ways of working by sharing the local perspective & feedback.

Office Services Role Includes

  • Office Management, including cleaning contract, goods & services, visitor process, landlord liaison, repairs & maintenance.
  • Workplace Development - develop and continuously improve our workplace solutions and the working environment, in collaboration with our USA business managers and consultants.
  • Office Security, inc access control, key management and ISO27001 compliance.

  • Health & Safety compliance – eg Fire & Emergency, First Aid, Covid response.

  • General Admin, including phone subscriptions, general guidance on tooling use (eg Workday, Jira, Insperity).

  • Manage the offices within a defined budget and review local invoices.

  • Develop and align Office Services processes with global practice.

  • Maintain the F-Secure Brand at our New York City office.

  • Align on HR & Office Services processes with other Office Services Specialists and Managers.

  • Coordinate real-estate issues such as renovation, moves, allocation of teams in office, and office-related services.

  • Oversee office administrative services and act as main contact point for external service providers.

What are we looking for?

We're looking for candidates with HR Operations experience in the USA, within a mid to large sized organization, ideally in an international environment. Office and facilities management knowledge and ability is also required. You need to take the lead, be service driven, with excellent communication and collaboration skills, with experience of project management, with the ability and vision to ensure services are delivered to our USA employees. We are looking for someone with:
