The Office Manager provides operational support to the business on a day to day basis across all areas of Vaimo UK’s operations. This role will provide a broad understanding of the systems and process within the business and enable you to to meet and work with all the people in our organisation. Ideally, we are looking for someone who is interested and motivated to move into our project management team as a project coordinator within 1 to 2 years and subsequently towards project management.
Key areas of responsibility include:
Be a central contact to people inside and outside the company: employees, customers, visitors and building management
Manage day to day operational tasks such as answering incoming calls, mail distribution, maintaining office supplies, control of invoices and submission to finance
Greeting and looking after visitors
Support to business leadership
System and data management, including HR systems and data
Engage with third parties to manage contracts and service across a wide range of areas
Manage contracts with cleaners and maintenance to ensure the office is optimally maintained
Oversee initial onboarding of new employees and ensuring all the relevant tools and systems are available in advance
Review and maintain company policies and company documentation
Manage work related equipment such as computers and phones
Support employees with travel arrangements
