Operations Coordinator

Igloo Books is looking for an operations coordinator to join the creative team in Sywell, Northampton. The operations coordinator works closely with the Igloo Books sales team to manage clients and meet agreed targets for service and product supply. The operations coordinator will work with the wider operations team to ensure business growth plans are met.

Essential job functions/responsibilities

  • Maintain the internal sales database (Biblio).
  • Manage and track individual orders for customers.
  • Provide a high standard of customer service to customers.
  • Actively liaise with a range of people to ensure products are shipped in a timely and efficient manner, including; printers, suppliers, buyers, the internal sales team and shipping agents.
  • Manage and process invoices.
  • Producing regular sales reports on Excel with product information for clients.
  • Assist in meeting business KPIs, as assigned by the operations and sales teams.
  • Actively problem solve and escalate problems accordingly to ensure shipping schedules are maintained.

Skills & Requirements

Skills and experience

  • Confident user of the Microsoft Office suite (particularly Excel and Outlook).
  • Comfortable communicating information with external buyers and internal staff.
  • Comfortable working in a friendly, positive team.
  • Time management and organisation skills, able to prioritise work around competing deadlines.
  • Experience in a sales administration role is beneficial but not required.
  • Experience using a sales order processing system is beneficial but not required.
  • Experience managing administration tasks for retailers, supply chains and/or FMCG (Fast-Moving Consumer Goods) is beneficial but not required.
