Position Mission

As EFC continues to grow, in terms of members, services, activities and events, the volume of financial transactions managed by the Finance Operations Department is increasing significantly, with year-on-year growth expected to continue across all entities, including the newly established overseas hubs and the EFC Foundation.

In this context, the Finance Coordinator will play a key role in supporting EFC’s daily finance operations and ensuring the accurate, timely, and compliant processing of all Poland-based transactions.

Based in Warsaw and working closely with the central Finance Operations team in Nyon as ll as in London, this role will take day-to-day responsibility for the accounting activities of EFC’s newly established Polish entity, including transaction processing, coordination of accounts payable and receivable, monthly closings, local tax compliance, and maintaining high-quality financial records. The position will also provide administrative and operational support to the Warsaw office, contributing to the smooth functioning of local activities and facilitating coordination with EFC’s wider European operations.

This is an excellent opportunity for a technically strong, detail-oriented, and ambitious individual who is keen to develop within a dynamic, fast-growing, and international organisation. The successful candidate will contribute to delivering the highest standards of service to internal and external stakeholders, while gaining hands-on experience across a multi-entity, multi-jurisdiction finance environment that includes the broader EFC Group and EFC Foundation.

Core Responsibilities

Reporting to the Senior Finance Manager – Finance Operations and working closely with the Finance Operations team in Nyon, the successful candidate’s responsibilities will be wide ranging and, as the key local finance contact for EFC Poland, will include (but not be limited to):

  • Managing the day-to-day accounting of EFC’s Polish entity, ensuring all transactions are processed accurately, timely, and in line with internal policies and Polish statutory requirements.
  • Processing supplier invoices through Continia Document Capture, coordinating approvals with Warsaw Hub staff and ensuring payments are executed according to due dates.
  • Raising sales invoices for Polish activities and monitoring the timely collection of receivables.
  • Posting and reconciling bank transactions, including multi-currency movements, and supporting treasury follow-up.
  • Supporting monthly and annual closings for the Polish entity and, when required, for other EFC Group entities, including balance sheet reconciliations, accruals, prepayments, fixed assets, and other period-end entries.
  • Preparing supporting documentation for consolidation into the EFC Group.
  • Preparing and/or coordinating Polish VAT and corporate income tax (CIT) compliance, including relevant statutory filings and reconciliations, in coordination with external local advisors when necessary.
  • Supporting compliance with Polish reporting and e-invoicing requirements, including JPK reporting and KSeF processes, and maintaining awareness of relevant changes in local tax and accounting regulations.
  • Coordinating with local tax, payroll and accounting advisors on matters such as withholding tax, payroll-related accounting entries and other Polish statutory obligations, as applicable.
  • Assisting with foreign VAT recovery procedures.
  • Supporting statutory audits and year-end procedures for the Polish entity and, when required, for other EFC Group entities, ensuring that all requested financial information is accurate, complete, and delivered in a timely manner.
  • Maintaining organised accounting records and ensuring documentation meets internal audit, tax, and compliance standards.
  • Supporting the implementation and continuous improvement of financial processes across the EFC hubs, ensuring consistency with Nyon’s operation.
  • Providing general administrative and operational support to the Warsaw Hub, including coordination with suppliers, office service providers, local advisors, and other stakeholders.
  • Assisting with logistical and administrative aspects of Poland-based events, meetings, and operational activities.
  • Supporting the Senior Finance Manager and the broader Finance Operations team with various finance, administrative, and inter-entity coordination tasks as required.
