The Club Relations Assistant provides high-quality administrative and operational support to the Club Relations Department, ensuring that information, systems, communications and recurring processes are accurate, organised and consistently maintained.

The role requires a highly reliable and proactive professional who can take ownership of responsibilities from beginning to end, manage competing priorities independently and identify issues before they become problems. Microsoft Dynamics CRM is an important working tool within the role, but this is not a technical CRM administrator position.

Core Responsibilities

Administration & Department Operations

  • Coordinate Club Relations meetings and calls, including invitations, agendas, participant information, supporting materials and follow-up actions.
  • Maintain departmental trackers, shared documentation, Teams/SharePoint folders and recurring administrative processes to a consistently high standard.
  • Manage Club Relations shared mailboxes, ensuring correspondence is reviewed, assigned, categorised and followed through appropriately.
  • Prepare high-quality PowerPoint presentations, documents, briefings and Excel trackers for departmental activities, meetings and reporting.

CRM, Data & Information Management

  • Maintain accurate, complete and up-to-date club, contact and stakeholder information in Microsoft Dynamics CRM and relevant Club Relations tracking tools.
  • Process updates, identify missing or outdated information, remove duplicates and support regular data-cleaning and verification exercises.
  • Research and verify club and stakeholder information using reliable internal and external sources.
  • Identify recurring data-quality issues and provide constructive feedback to colleagues, other departments and external stakeholders where improvements are required.

Communications, Reporting & Events

  • Support Club Relations communications, recipient lists, invitations and targeted outreach, ensuring information and audiences are accurate before distribution.
  • Support departmental reporting by extracting, validating and organising information through CRM, Excel and other available tools.
  • Provide administrative support for Club Relations meetings and events, including registrations, participant information, attendance records, presentation materials and post-event updates.
  • Liaise professionally with club representatives and other stakeholders when information, registrations or follow-up actions are required.

Process Improvement & Cross-Department Coordination

  • Proactively identify inefficiencies, recurring issues and opportunities to simplify or improve administrative and data-management processes.
  • Work collaboratively across EFC departments to resolve information, data and operational issues and help ensure agreed standards are consistently followed.
  • Provide clear, constructive and solution-oriented feedback on processes, data quality and working practices.
  • Support the documentation and implementation of improved procedures and ways of working.

Skills & Requirements

Experience

  • 3–5 years of professional experience in a department support, sales/commercial, coordination or operational role.
  • Experience working in a fast-moving environment with multiple recurring responsibilities and deadlines.
  • Proven experience preparing professional PowerPoint presentations, documents and Excel-based trackers or reports.
  • Experience working with CRM systems, databases or other business-management platforms; Microsoft Dynamics 365 experience is an advantage.
  • Experience coordinating information and processes across different teams or stakeholders is desirable.

  • Exceptionally organised, reliable and detail-oriented, with a strong sense of ownership and follow-through.
  • Proven ability to work independently, manage multiple priorities and deliver complete outcomes without continuous supervision or reminders.
  • Proactive and able to identify outstanding actions, missing information and potential issues before being asked.
  • Strong judgement, accuracy and discipline when working with detailed information, recurring processes and deadlines.
  • Excellent PowerPoint skills, with a strong eye for structure, layout and professional presentation; strong Excel and Microsoft 365 skills.
  • Confident providing constructive feedback and proposing practical improvements to data quality, processes and working practices.
  • Strong written and verbal communication skills and the ability to work professionally with colleagues, clubs and external stakeholders.
  • Comfortable learning new digital platforms and working with structured data.
  • Excellent command of English; additional European languages are an advantage.
