Your role

In this role, you are responsible for supporting the Chief Policy Officer (CPO) within the PGGM Investment Management (IM) Board and the Director of Tax, Legal & Regulatory. The CPO is responsible for advising our client, PFZW, on its investment strategy and policy. The Director of TL&R leads the Tax, Legal & Regulatory department and is responsible for legal affairs, legislation, regulations, and licensing. As such, you will operate in a dynamic and substantively complex environment where long-term strategy, investment policy, legislation and regulations, and stakeholder management all converge.

You understand their areas of operation, priorities, working methods, and stakeholders, and you proactively anticipate their needs. As the primary point of contact, you think ahead, identify what is required, and ensure they are well-prepared for meetings and decision-making processes.

At the same time, you always keep the bigger picture of the broader Board agenda in mind. You actively coordinate with your fellow EAs to ensure consistency in support and to keep collective interests at the forefront.

Together with your colleagues, you are responsible for creating stability, focus, and a clear overview for the Board as a whole. You coordinate closely, distribute team tasks smartly, and step in for one another whenever necessary. This collaborative approach creates a consistent, reliable, and high-quality support system. Together, you ensure that board members can focus entirely on strategic priorities.

Within this team, you take ownership of your specific responsibilities, directly supporting two board members, while always acting in the best interest of the Board as a whole. You actively contribute to team agreements, process optimization, and peer feedback, ensuring that the support provided to the Board continuously evolves and improves.

The Executive Assistant team is part of the Business Management department. In your role as Executive Assistant, you will report to the Head of Business Management. You will also collaborate closely with the wider Business Management team, including colleagues focused on strategic projects, corporate governance, and the strategic partnership with our client, Stichting Pensioenfonds Zorg en Welzijn (PFZW).

Key responsibilities

  • Managing complex calendars and email inboxes for the Board members
  • Coordinating and preparing meetings (including Management Team meetings)
  • Monitoring action items, deadlines, and decision-making processes
  • Managing archives and digital workspaces (Teams / SharePoint / iBABS)
  • Processing and verifying invoices
  • Drafting and supporting the creation of presentations and briefing notes

Your department

The Business Management team consists of three specialized expertise groups that collaborate to realize IM’s strategic agenda:

  • Partnership Management & Evaluation: Responsible for the strategic collaboration with PFZW, governance agreements, and evaluating products and services.
  • Management Consultants & Corporate Secretariat: Focused on strategic support for the IM Board, corporate governance, and translating strategy into implementation.
  • Executive Assistants: Form the organizational backbone of the PGGM IM Board team. As a team, you provide structure, overview, support, and connection both within and outside the Board. Collaboration, continuity, and a standardized way of working are central to this team.

Profile & Requirements

  • A minimum of 7 years of relevant working experience
  • Affinity with asset management and legislation & regulations
  • Experience within a financial institution or asset manager is an advantage
  • Strong team player with excellent communication skills
  • Proactive, structured, and decisive
  • High sense of responsibility and strict discretion
  • Organizationally sensitive with strong connecting skills
  • Ability to weigh competing interests and set priorities at both the team and Board level
  • Fluent in both Dutch and English, both written and spoken (hard requirement)
  • Experience with Office 365, MS 365 Copilot, and iBABS is required
  • Completed secretarial training, preferably as an Executive Secretary / Personal Assistant
