Main goal

The UEFA Academy Operations Assistant contributes to the successful delivery of UEFA Academy programmes by providing high-quality administrative, contractual, financial, and logistical support.

The role helps ensure a consistent and professional participant experience, from initial enquiries and onboarding through to programme completion, feedback collection, and transition into the alumni community.

Working closely with UEFA Academy colleagues, other UEFA divisions, academic partners, and external service providers, the Operations Assistant combines reliable day-to-day administration with a proactive approach to service excellence and continuous process improvement.

Key responsibilities

Administration and logistics

  • Coordinating the preparation, tracking, signature and filing of contracts relating to UEFA Academy activities, in close liaison with UEFA's legal division
  • Maintaining accurate records of all contracts, monitoring deadlines and identifying opportunities to improve contractual workflows
  • Supporting financial administration, including invoicing and following up on payments and liaising with UEFA’s finance division to ensure that all financial records are accurate and all processes completed on time
  • Assisting with the organisation of seminars, workshops and events, including working with UEFA's travel agency to arrange transport and accommodation and handling meeting logistics in collaboration with event support teams
  • Coordinating the administrative follow-up of the UEFA Academy accreditation process, monitoring progress on KPIs and ensuring documentation is complete and accurate
  • Organising and maintaining files, templates, calendars, tracking tools and shared documentation, providing UEFA Academy colleagues with continuous administrative support and collaborating with them to improve team processes

Participant experience and operational support for UEFA Academy programmes

    • Acting as a first point of contact for prospective and accepted participants, providing accurate and timely information about UEFA Academy programmes
    • Contributing to a high-quality participant journey, from onboarding to programme completion and feedback
    • Coordinating visits by partner universities, institutional stakeholders and other guests invited by the UEFA Academy
    • Organising visit itineraries, site access, meeting rooms and catering, coordinating internally to ensure a professional and welcoming experience for the UEFA Academy's guests
    • Providing on-site operational support during seminars held at UEFA or abroad when required
    • Depending on future needs, the role may develop to include supporting seminar facilitation, participant engagement and programme coordination

Skills & Requirements

Requirements

Experience:

  • From 1 to 3 years in programme administration, event operations, education services, customer service or a comparable role
  • From 1 to 3 years in an international, multicultural or service-oriented environment would be an advantage
  • From 1 to 3 years with accreditation, quality assurance or a comparable administrative-review process would be an asset

Education:

  • Relevant education and/or further training in administration, event management, education services, business administration, or a related field.

Languages:

  • Proficient in French & English

Other requirements:

  • Strong proficiency in Microsoft Office
  • Familiarity with generative AI and automation tools and the ability to use them appropriately and critically to support administrative, communication and coordination tasks
  • Basic ability to use Adobe Creative Cloud, Canva or comparable visual-content tools would be an asset
  • Strong organisational and prioritisation skills, with the ability to manage several deadlines, requests and programme calendars in parallel
  • Ability to collaborate effectively with colleagues, academic partners, external suppliers and other UEFA staff
  • Adaptability and intercultural sensitivity
  • Ability to remain calm and responsive in time-sensitive situations
  • Occasional travel within Switzerland and abroad is required
  • Some programme activities may require flexibility to work during evenings and weekends
