Compliance Coordinator

The Compliance Coordinator supports CO UK in meeting the requirements of the Group Management Systems, with a particular focus on the Quality Management System certified to ISO 9001. The role helps ensure that Group policies, processes and requirements are embedded within the UK business, while supporting the identification of local issues and opportunities for improvement.

Working with colleagues at Headquarters and across other Country Organisations, the Compliance Coordinator helps maintain local compliance documentation, coordinates audit preparation and management review activities, and tracks assigned corrective actions through to completion. The role also supports the UK’s supplier evaluation and online assessment obligations, helping ensure that records remain up to date and the business is prepared for internal and external audits.

CO UK is also progressing the implementation of an Environmental Management System and certification to ISO 14001. The Compliance Coordinator will assist with this work where appropriate, depending on their start date, and will help maintain the system once established. This will include coordinating environmental documentation, monitoring ongoing requirements and supporting deliverables such as the Carbon Reduction Plan. The environmental management system is expected to transition into the Group framework in due course.

This is an opportunity for someone looking to build on their interest or experience in quality, compliance and environmental management. We are looking for someone who is organised, curious and proactive, with strong attention to detail and the confidence to follow up on actions and work collaboratively with colleagues. The successful candidate will work closely with the Head of Commercial and Compliance and Group colleagues, developing their knowledge through practical experience and collaboration while taking ownership of their responsibilities.

Key Responsibilities

Group Management Systems and Operational Excellence

  • Support CO UK’s adherence to the Group Quality Management System, helping to embed the policies and processes contained within it.
  • Assist in preparing materials and local input for operational excellence meetings with Quality Managers from Headquarters and other Country Organisations.
  • Act as a local point of contact with Headquarters for ISO 9001-related matters, helping communicate Group requirements and raise local issues.
  • Develop an understanding of the Group ISO 27001 (Information Security) certification and support related activities as directed by the UK Information Security Lead.
  • Assist in managing Corrective and Preventive Actions (CAPAs) assigned to CO UK, helping track progress through to verified closure.
  • Help prepare documentation for CO UK Management Review Meetings in line with Headquarters templates, and provide administrative support for those meetings, including agendas and scheduling.
  • Help identify local compliance issues and opportunities for improvement, raising these with the relevant stakeholders

Audit Support

  • Support the planning and coordination of relevant internal audits, working with Headquarters to identify CO UK stakeholders and coordinate their participation.
  • Issue communications ahead of audit activity to help ensure local processes and documentation are current and audit ready.
  • Support external audit activity as required, including collating evidence and carrying out audit readiness checks.

Local Documentation and Policies

  • Help maintain the CO UK Department Specification and applicable local process documentation, keeping them current and audit ready.
  • Support the review and approval process for local documentation, including the Labour Standards Assurance System (LSAS) policy and the Modern Slavery Policy.
  • Help maintain documentation relating to local environmental commitments, including net zero objectives and the Carbon Reduction Plan
  • Assist in maintaining the Corporate Resolution Plan and Service Continuity Plan, working with relevant stakeholders as directed.

Assessments, Suppliers and Assurance

  • Support the completion and maintenance of UK online assessments, including the Evergreen Assessment and the Modern Slavery Assessment.
  • Coordinate the evaluation and assurance of UK suppliers, liaising with relevant stakeholders to obtain and review required information, maintain accurate records and follow up on outstanding actions.
  • Support the completion of Data Protection Impact Assessments (DPIA) and Digital Technology Assessment Criteria (DTAC) submissions where applicable, working with Information Security who lead this activity.
  • Help track and report on the delivery of contractual social value commitments.
  • Help monitor emerging legislation and regulatory requirements relevant to CO UK, identifying potential implications and escalating issues for assessment and action.

Environmental Management – ISO 14001

  • Provide coordination, administrative and data-gathering support for the implementation of ISO 14001, working with the relevant stakeholders and the Head of Commercial and Compliance as required.
  • Following implementation, help maintain the Environmental Management System, including supporting documentation, monitoring ongoing requirements and coordinating relevant environmental reporting and deliverables.

General Compliance Support

  • Act as a first point of contact for routine compliance queries from the business, seeking guidance and escalating issues as appropriate.
