Land Operations Coordinator

The Land Operations Coordinator is responsible for assisting with planning and supporting the successful execution of HX Expeditions pre- and post-cruise operations within gateway cities and ports in some of the world’s most unique destinations.

Key Responsibilities & Deliverables

  • Work directly with the Land Operations Manager on assigned areas of the business to research, plan, and execute land programs in gateway cities and ports around the world.
  • Support and collaborate with the wider Air & Land team, including other Land Operations Coordinators and the Land Operations Manager, to deliver outstanding guest experiences.
  • Work closely with the HX Air team to ensure a seamless customer journey across ad-hoc, charter, and group flights, including alignment of schedules, capacity, manifests, and service delivery.
  • Coordinate and prepare all logistics and practical information with shipboard teams to ensure smooth and successful ground operations.
  • Manage detailed operational planning, working closely with suppliers and partners to support the full guest journey.
  • Maintain and follow agreed contracts, pricing, service standards, and quality expectations, including related logistics such as transfer buses, hosts and guides, included meals, activities and other guest services.
  • Communicate guest logistics and operational information to internal and external stakeholders, including preparation of reports, manifests, travel documents and operational updates.
  • Become a subject matter expert for assigned areas and provide timely and accurate support to internal teams, including Marketing, Sales, and Guest Excellence.
  • Work with the Marketing team to ensure the HX brand is reflected across all guest touchpoints, including welcome desks, uniforms, guest communications and other physical guest-facing elements.
  • Identify opportunities to improve the customer journey, including experiences for HX Suites guests and VIP guests.
  • Monitor and support customer service issues related to assigned areas of responsibility.
  • Support irregular operations and emergency situations when required, including outside normal working hours, to ensure operational excellence and a seamless guest experience.
  • Manage cost control activities, including invoice checking and processing for Land Operations, while identifying opportunities for efficiency and responsible spending.
  • Collect and document feedback after each cruise turnaround regarding supplier performance, partner services, and guest feedback, ensuring continuous improvement.
  • Perform additional tasks as required.

Requirements:

  • Fluency in English is required. Additional business level language fluency is beneficial but not required.
  • Experience in maritime, expedition, or cruise industry beneficial but not required.
  • Proactive, independent, and motivated to play an important role in the future development of HX Expeditions.
  • Strong passion for delivering exceptional guest experiences, continuously looking for opportunities to improve and adapt.
  • Structured and analytical approach to problem-solving and decision-making.
  • Ability to manage multiple tasks simultaneously with strong organisation skills and attention to detail.
  • Strong teamwork skills, global mindset, and ability to adapt to changing business needs.
  • Clear and effective communication skills with internal and external stakeholders.
  • Tech-forward and adaptable, with a proven ability to quickly learn new systems.
  • Proficiency in MS Office applications including Outlook, PowerPoint, Word, and Excel.
