People Systems & Data Analyst

The People Systems & Data Analyst supports the effective operation and maintenance of HR systems and people data. The role focuses on ensuring data accuracy, maintaining system integrity, and delivering reliable reporting to enable business decisions, support compliance requirements, and contribute to a smooth employee experience.

Skills & Requirements

Key Responsibilities & Deliverables:

People Systems

  • Support the day‑to‑day operation of core HR systems (e.g., HRIS, time & attendance, interfaces) and act as a knowledgeable point of contact for users.
  • Maintain system configurations, assist with updates and testing, and coordinate with vendors and internal teams on smaller enhancements or fixes.
  • Translate HR process needs into practical system inputs and support scalable configuration changes under guidance.
  • Contribute to system implementations, rollouts, integrations, and regular updates by gathering requirements, preparing documentation, and supporting testing activities.
  • Administer HRIS access, including user roles and permissions, ensuring alignment with GDPR and internal policies.
  • Maintain system documentation, workflows, and user guides to support consistent usage.

People Data & Reporting

  • Ensure accuracy and consistency of people data across systems (MSD, OCS, Workvivo, Teams, HX Academy, etc.).
  • Prepare and maintain standard reports and support ad‑hoc data requests (e.g., headcount, turnover, compensation, DEI, performance).
  • Provide reliable data inputs and basic insights to support business and leadership reporting.
  • Follow established data governance standards and support data quality checks and audit requirements.
  • Support annual HR processes (performance cycle, compensation review, engagement survey) with data preparation and system updates.

Compliance & Governance

  • Support compliance with local labour law, GDPR, and Pay Transparency requirements through accurate data handling and system practices.
  • Assist with audits, regulatory reporting, and internal controls related to people data.
  • Collaborate with People Ops, Rewards, Payroll, IT, and Legal teams to ensure alignment on data and system requirements.

Process Improvement & Automation

  • Identify opportunities to simplify and standardise processes within existing system capabilities.
  • Gather feedback from HR and the business and translate it into actionable suggestions for system or process improvements.
  • Help reduce manual work and data duplication by supporting better system usage and integrations.
  • Contribute to continuous improvement initiatives across the People function.

Stakeholder Support

  • Serve as a key support contact for People Ops, IT, Finance, and external vendors on system‑related topics.
  • Provide second‑line support for system queries and troubleshooting.
  • Train and support HR colleagues and managers on system use, reporting basics, and data accuracy.
  • Contribute to broader team and business priorities as needed.
  • Thinks sustainably and brings this mindset to their team and partners.

Essential Knowledge & Skills

  • Experience in HR operations, people systems, or HR analytics roles, ideally in a multi-country environment.
  • Hands‑on experience supporting HR systems, maintaining data accuracy, and assisting with reporting processes.
  • Working knowledge of data flows, interfaces, and connecting people systems and reporting in a way that meets local labour law requirements and business needs.
  • Hands-on experience with HRIS platforms; experience with Microsoft Dynamics (MSD) and OCS strongly preferred.
  • Experience with Microsoft PowerApps and Microsoft PowerBI beneficial.
  • Proficiency in Excel (data analysis, formulas, pivot tables) and strong working knowledge of Microsoft Office tools.
