JOB PURPOSE

Within the Programmes Management and Development Department, the Strategic Programmes Coordinator leads on Strategic and high level programmes as representative in complex partnerships/governance structures, ensuring joint planning, coordination and monitoring. Depending on the area, it leads and supports donor engagement, and programmes design. It acts as awards and implementation oversight role and ensure internal and external knowledge management. The role has a strong functional dotted line with the relevant Institutional and Transformational Partnerships and Fund role – for engagement/coordination and FR lead.


MAIN ACTIVITIES/RESPONSIBILITIES

Strategic Representation, Coordination and donor engagement

  • Represent the organisation in complex governance structures and multiagency multistakeholder partnerships, ensuring alignment with institutional priorities.
  • Participate in key internal coordination forums and contribute to strategic discussions with senior management.
  • Provide strategic coordination and oversight for country and regional programmes, acting as a central interface between internal entities and, when required, field teams.
  • Deliver regular progress updates to Leadership Groups’ members and other internal bodies, facilitating timely decision making and coherent joint messaging.
  • Deliver coordinated contents for briefs, talking points, presentations, and other materials, ensuring clearances if needed.
  • Track donor pitches, feedback, conditions, and next steps, ensuring relevant workstreams integrate updates; maintain an engagement tracker.

Joint Planning and Operational Coordination (Internal and External)

External coordination

  • Convene and/or participate in regular meetings with partners and adhoc sessions (donor engagement, new opportunities), preparing and circulating minutes and action trackers.
  • Maintain a shared workplan, timeline, milestones, and decision log for assigned workstreams, ensuring consistent information flow and alignment across agencies on priorities, messaging, and processes.

Internal coordination (SC Italy, SCI, Members, COs)

  • Ensures Record internal alignment while tracking actions from meetings through to closure, monitoring delivery against agreed milestones.
  • Engage Members, Country Offices, and regional focal points to secure timely inputs and approvals.

Programme Design (Context, Packages, Submissions)

  • Coordinate the distribution and allocation of budget on the given initiatives, ensuring alignment of assumptions and cost splits across actors and compliance.
  • Facilitate integrated programme design by coordinating contributions from technical, finance, grants, MEAL, and HR teams.

Programme Cycle Management, Risk and Implementation monitoring

  • Ensures all AM related actions are in place (including award kickoff AMS/award management support, etc)Codevelop initial workplans with other staff to ensure a coordinated and compliant programme startup.
  • Ensure effective donor compliance management, including alignment on reporting frameworks and support for complex grant modifications.
  • Can lead and coordinate on given programme management cycles (planning, reviews, reprogramming, closeout), ensuring coherence, quality, and timeliness across portfolios.
  • Ensures risk management tools and processes are in place, and updates and escalations are in place.
  • Monitors project delivery progress and escalate critical issues that may affect timelines, quality, or organisational reputation.
  • Coordinate with SC Italy award management and COs to ensure alignment of ToRs for country coordinators across countries and partner agencies.

Knowledge Management and Internal Communication

  • Lead the development and dissemination of internal communication materials, ensuring repositories are updated and accessible to SC Italy, Members, and SCI.
  • Facilitate cross country learning and supports organisational learning initiatives.
  • Contribute to continuous improvement of programme management systems, tools, and ways of working.

REQUIRED EXPERIENCE AND QUALIFICATIONS

  • Minimum 5-9 years of experience in coordination and or project management.
  • Knowledge of and experience with the UN system.
  • Contribute to Knowledge of international institutional donors' rules and regulations.
  • Experience in coordinating, and managing large, complex grants, preferably in consortium or with multistakeholders governance set-ups.
  • Knowledge of migration programming.
  • Excellent communication and negotiation skills; strong ability to lead interaction with a diverse audience of stakeholders.
  • Proficiency in English, both spoken and written. French desired.
  • Advanced degree in International Development, Social Sciences, or related fields.

    DESIDERABLE COMPETENCIES

    • Experience in Migration programming
    • Previous experience with child-rights organizations and understanding of children rights
    • Previous experience with large organizations
