People & Office Coordinator

We’re now looking for a People & Office Coordinator to join our People & Culture team in Stockholm. This is a part-time (50%) role where you’ll play a key role in creating a welcoming, organized, and inspiring workplace, while supporting the people operations that keep our growing team thriving.

Your mission at Epassi

Your mission is to create an engaging, well-functioning office environment while supporting smooth people operations across the employee lifecycle. You’ll be a central point of contact for office matters and an important support to the People & Culture team, helping ensure that every Epassian has a great experience at work.

Your responsibilities will be

Office & Events

  • Lead the planning and coordination of global and local events that bring energy to Epassi life
  • Initiate and manage local wellness activities such as weekly trainings and team event participation
  • Act as the go-to person for all office-related questions and facility matters
  • Manage weekly orders of breakfast, fruit, beverages, and other office supplies
  • Coordinate with external vendors to ensure smooth facility operations
  • Oversee office maintenance, furniture arrangements, and general facility management
  • Promote a safe physical work environment through proper routines, first aid readiness, and compliance measures

Onboarding & Offboarding

  • Coordinate onboarding and offboarding processes in our systems for all employees in Sweden
  • Prepare everything needed for a great first impression — from meeting schedules to onboarding kits and manager readiness

People Operations

  • Maintain accurate employee data and records in our HR systems
  • Support the People & Culture Manager with reports and people metrics
  • Manage employee benefits and help ensure a smooth, supportive employee experience

What you’ll be doing (daily)

  • Supporting employees with office- and people-related questions
  • Keeping the office organized, welcoming, and running smoothly
  • Coordinating practical details for new hires and departures
  • Collaborating closely with the People & Culture team
  • Proactively identifying improvements to office routines and employee experience

What you should bring

  • Strong organizational and communication skills
  • A service-minded, solution-oriented mindset
  • High attention to detail and the ability to create structure in a dynamic environment
  • A genuine interest in people, wellbeing, and workplace culture

Considered a plus

  • Experience in office management, HR coordination, or customer/employee experience
  • Studies in, or ongoing education within, an HR-related field

Your track record

  • You have experience supporting office operations, people coordination, or similar administrative roles
  • You’re comfortable working independently and taking initiative
  • You’re known for creating positive energy and keeping things running smoothly

Your language profile

  • Fluency in Swedish and English, both written and spoken
