Data Migration Assistant - Temp 3 months

A bit about the role:

We are looking for a detail-focused and reliable Data Migration Assistant to support the manual transfer of bookings from our existing booking platform (Polar Global - PG) to a new booking system (Seaware SW). This role involves reviewing, extracting, validating, and accurately

inputting data to ensure a seamless transition with minimal disruption to business operations.

Key Responsibilities

  • Manually transfer booking records, client profiles, notes and related data from PG to SW
  • Review existing data for accuracy, duplication, and completeness before and after migration
  • Input and map data into the correct fields and structures in the new booking system Flag missing, inconsistent, or unclear information for clarification
  • Update Financial information to ensure booking record in SW matches revenue and commission invoices in PG
  • Maintain a tracking log of migrated records and identify progress or issues
  • Work closely with your 'migration buddy' for vice versa quality assurance checks on each other's migrated bookings to ensure data matches original records (each Data Migration Assistant will be paired up with another Data Migration Assistant)
  • Work closely with migration lead to follow migration processes and meet deadlines Handle confidential information in line with GDPR / data privacy policies

Essential Skills & Experience

High level of accuracy and strong attention to detail

  • Ability to follow structured processes and work systematically
  • Good digital literacy and confidence working across multiple online systems
  • Strong organisational skills and ability to manage repetitive tasks efficiently
  • Reliable, self-directed, and able to meet agreed timelines
  • Basic understanding of data standards, GDPR, or customer confidentiality

Desirable Experience

  • Proven experience in data entry, admin, CRM or booking system management
  • Experience working with booking, scheduling, CRM platforms ideally in PG and Seaware
  • Previous work on data migration or systems implementation projects
  • Competence using spreadsheets (Google Sheets / Excel) for tracking and validation
