HR Specialist (6 months temp contract)

Overview:

We are seeking a motivated People Operations Administrator to join our global People & Culture Team and who will be based in Prague. This role is essential in ensuring compliance, supporting the growth of our new business entity in the Czech Republic, audit proofing, supporting the People Operations Team globally with data entry, systems updates and data audits readiness and providing additional support and cover for the Senior People Partner Prague.

You will work closely with the global People and Culture team during an exciting period of expansion.

The People Operations Administrator will be a quick learner who brings detail focus, enthusiasm and an ability to work with a variety of systems to the People & Culture Team and HX.

Key Responsibilities:

  • People Systems: Update and maintain databases and software programs, including MS Dynamics, OCS and case management systems like Jira.
  • Project Support on People Systems: Transfer documents from legacy system (OCS) to MS Dynamics, assist in system tests, including a new absence management system (eg Clockify) and assist in other projects and data audits as required
  • Employee Engagement: Support communication and availability of policy, process, information, news updates etc documentation on the company’s Workvivo and SharePoint sites
  • Compliance: Support HR processes to meet local compliance requirements, including Right to Work Checks, medical appointments and Visa applications.
  • Documentation: Help maintain employee-related documentation such as employment contracts, job descriptions, attendance and salary records.
  • HR Support: Provide basic advice and assistance to managers on policies, procedures and systems support.
  • Reporting: Compile and analyse basic reports and statistics as needed.
  • Benefits and Payroll: Assist in the establishment and management of benefits and payroll processes.
  • Office Management: Support office management tasks including coordinating office supplies, organising company events, and ensuring a smooth day-to-day operation of the office.
  • Assist in Employee Lifecycle Actions: Support the People and Culture Team in managing employee lifecycle including recruitment, selection, onboarding, training, engagement activities and exit interviews.

Skills & Requirements

Professional Qualifications:

  • 3 – 5 years of HR-experience, preferably in an international matrix-organization

Essential Knowledge & Skills

  • Experience working in a multi-national organisation
  • Strong Excel skills
  • Basic understanding of Czech employment law and regulatory requirements
  • Fluency in Czech and English


Desirable Knowledge & Skills

  • Familiarity with HR policies and procedures across multiple countries.
  • Experience with various HR platforms and case management systems.
  • Experience with Visa applications and immigration requirements.
  • Experience with various HR, Jira, Pension, Attendance platforms
  • Willingness to learn and update knowledge on
