The World Expositions, or Expo, is a main venue for showcasing achievements of nations globally and a platform to share ideas for a better future. The next World Expo will be held 2025 in Osaka, Japan and will host a Nordic Pavilion. We are now looking for a Administration Officer to join our team in the Nordic pavilion.

Background
The next World Expo will be held from 13 April to 13 October 2025 in Osaka, Japan, and will bring together 160+ countries and 9 international organizations from around the world to explore the theme "Designing Future Society for Our Lives." This global event will showcase innovative solutions, promote international cooperation, and inspire conversations on shaping a sustainable and inclusive future. The organizer estimates that around 28 million visitors will attend the world exhibition.

The Nordic Pavilion, “The Nordic Circle”, is a collaboration between Denmark, Finland, Iceland, Norway and Sweden, showcasing the region's culture, innovation, and sustainability on the global stage. Together, these countries represent a powerhouse of creativity and forward-thinking solutions, making the Nordic Pavilion a must-visit destination at EXPO 2025 Osaka.

The overall purpose for the Nordics participation at Expo 2025 Osaka is to drive environmental and sociable transformations, increase Nordic-internal collaboration, with focus on Japan and Japanese companies, as well as to position the Nordics as front-of-mind business partner in environmentally and socially sustainable transformations for a better global future.

Business Sweden is given the responsibility to lead the joint Nordic presence at Expo 2025 Osaka, within a Joint Nordic PMO (Project Management Organisation), in coordination with the other Nordic countries and together with Nordic partner companies to ensure successful participation.

The Nordic pavilion
Built by Rimond Architects, the Nordic Pavilion is a 1,200 m2, 17 m high wooden structure that illustrates a timeless and sustainable mindset. The pavilion houses a joint Nordic exhibition, a shop, a roof terrace with a restaurant as well as a conference section.

The ground floor of the pavilion is where the public exhibition and shop will be situated. The first-floor hosts premises for the pavilion staff. The second floor of the pavilion hosts the conference section, where participating companies and organizations can book and organize their own events, as well as the roof top terrace and restaurant open to the public. The exhibition, shop, roof terrace and restaurant will be open to the public approximately twelve hours a day during the six months of the world exhibition.


About the position
The Nordic pavilion is recruiting an Administration Officer to liaise with the EXPO association in Japan and support the Nordic PMO Management team with various administrative support to ensure efficient operations in the pavilion.

The position entails to stay up to date concerning information from the EXPO 2025 Osaka Association, working in close cooperation with the Joint Nordic PMO Management team and the pavilions service provider e.g. shop, restaurant, cleaning, security.

The candidate should have well-documented experience from office administration and operations. Categorized as a typical doer, the candidate should have the drive and be used to taking own initiatives, as well as having the ability to implement and complete tasks with excellent results within short timelines.

The role includes responsibilities such as:

  • Liaison with the EXPO association in Japan e.g.
  • Map, stay updated, and liaise information from EXPO 2025 Osaka Association to relevant stakeholders in the pavilion and its partner organisations.
    • Manage the accreditations for the Nordic Pavilion
  • Support the Joint Nordic PMO Management team e.g.
    • Provide administrative support to ensure efficient operations, e.g. Coordinate meetings and communications.
    • Provide support in the coordination of marketing Events in Japan
  • Report regularly to the pavilion’s senior management about the planning and process ahead.
  • Be prepared to be able to support other parts of the operations for the Nordic Pavilion, if necessary.

Formal requirements

  • You have an academic degree within a relevant field of studies.
  • You have minimum of 3 years experience within Office administration and Operations in an international environment.
  • You have a high level of proficiency in written and spoken English as well as in Japanese. Advantage with a Nordic language.
  • You are experienced within MS Office
  • You are driven, structured, and used to taking own initiatives and can deliver results within short timelines.
    • Advantage if you have experience from working in at least one of the Nordic countries.

    Contract period

    Temporary employment with placement in Stockholm preferably from December 2024 to February 2025 and with placement at the Nordic Pavilion at Expo 2025 in Osaka from March to October 2025 (exact dates to be decided between the candidate and the Nordic Expo PMO).
