Event Manager to the Nordic pavilion at EXPO 2025 Osaka

The World Expositions, or Expo, is a main venue for showcasing achievements of nations globally and a platform to share ideas for a better future. The next World Expo will be held 2025 in Osaka, Japan, the world’s 3rd largest economy, and will host a Nordic Pavilion. We are now looking for an Event Manager to join our team in the Nordic pavilion.

The next World Expo will be held from 13 April to 13 October 2025 in Osaka, Japan, and will bring together countries from around the world to explore the theme "Designing Future Society for Our Lives." This global event will showcase innovative solutions, promote international cooperation, and inspire conversations on shaping a sustainable and inclusive future. The organizer estimates that around 160 countries will participate and around 28 million visitors will attend the world exhibition.

The Nordic Pavilion is a collaboration between Denmark, Finland, Iceland, Norway and Sweden, showcasing the region's culture, innovation, and sustainability on the global stage. Together, these countries represent a powerhouse of creativity and forward-thinking solutions, making the Nordic Pavilion a must-visit destination at EXPO 2025 Osaka.

The overall purpose for the Nordics participation at Expo 2025 Osaka is to drive environmental and sociable transformations, increase Nordic-internal collaboration, with focus on Japan and Japanese companies, as well as to position the Nordics as front-of-mind business partner in environmentally and socially sustainable transformations for a better global future.

Business Sweden is given the responsibility to lead the joint Nordic presence at Expo 2025 Osaka in coordination with the other Nordic countries and together with Nordic partner companies to ensure successful participation.

The Nordic pavilion

Built by Rimond Architects, the Nordic Pavilion is a 1,200 m2, 17 m high wooden structure that illustrates a timeless and sustainable mindset. The pavilion houses a joint Nordic exhibition, a shop, a roof terrace with a café as well as a conference section.

The ground floor of the pavilion is where the public exhibition will be situated. The exhibition, shop, roof terrace and cafe will be open to the public approximately ten hours a day during the six months of the world exhibition. The second floor hosts premises for the pavilion staff. The third floor of the pavilion hosts the conference section where participating companies and organizations can book and organize their own events.

About the Conference section

The Conference section consist of the following premises; a conference room, a meeting room as well as a reception/mingle area (shared area with visitors to the rooftop terrace and restaurant). In addition, the adjacent rooftop terrace and restaurant area can be booked for a limited time depending on availability.

About the position

The Nordic pavilion is recruiting an Event Manager to manage the coordination of the activities organized by the participating companies and organizations in the conference section. This includes responsibility for the pavilion reservation system, coordination of services provided by the Nordic pavilion, including tech support and catering.

The position entails manage the bookings from the partner organizations and to be working in close cooperation with the pavilion’s senior management and the hosts in the conference area. The candidate should have well-documented experience from event and conference management. Categorized as a typical doer, the candidate should have the drive and be used to taking own initiatives, as well as having the ability to implement and complete tasks with excellent results within short timelines.

The role includes responsibilities such as:

  • Manage booking request in the conference section from the participating companies and organizations, as well as manage the Pavilion reservation system
  • Ensure that the participating companies and organizations, and their specially invited guests, are professionally handled in all aspects, including their company-specific needs, support during events, and in verbal and written communication
  • Manage the daily operations of the Nordic pavilion’s conference section and supervise four to six conference hosts
  • Report regularly to the pavilion’s senior management about the operations in the conference section
  • Suggest improvements of the operations in the conference section to the senior management
  • Be part of the pavilion’s Crisis Response Team and ensure the safety and security in the conference section

Formal requirements

  • You have an academic degree within a relevant field of studies.
  • You have minimum 5 years working experience from Event Management in an international environment.
  • You have experience from working in one of the Nordic countries.
  • You are service-minded and are able to professionally represent the Nordics towards all visitors in the Nordic pavilion, both private, business and official.
  • You are driven and used to take own initiatives and can deliver results within short timelines.
  • You have a high level of proficiency in written and spoken English, as well as in at least one Nordic language and/or Japanese.

Contract period

Temporary employment with placement in Stockholm preferably from September 2024 to February 2025 and with placement at the Nordic Pavilion at Expo 2025 in Osaka from March to October 2025 (exact dates to be decided between the candidate and the Nordic Expo PMO).

Training of all personnel is carried out in March 2025 in Osaka.
