Executive Assistant

We’re hiring for one of the most exciting and versatile roles at Planhat—Executive Assistant! The right hand of the CEO.

As the EA to the CEO at Planhat you’ll tag along with, and report directly, to our CEO. Planhat is a global company growing extremely fast—this means that the job description is constantly changing as the top priorities within the company shifts. Your task will be to support the CEO on a daily basis where no task is too small nor too big to tackle, especially through collaboration with our team. You will be asked to carry out administrative tasks such as making travel arrangements, as well as lead ad-hoc projects important enough to get on the CEOs agenda, but don’t have a natural owner within the organization.

In order to thrive in this role, we believe that you’re a self-starter and a natural problem solver who is an expert in organizational dynamics and at ease with ambiguity. A successful candidate melds their EQ, humility, business acumen, and structured approach to problem-solving in order to help grow the business. Additionally, you are able to communicate in a crisp, structured manner, verbally as well as written.

Planhat is a distributed company meaning that location, for the right person, is flexible. However, as our CEO lives in Los Angeles and spends a lot of time in Sweden, it's a big plus if you are based in either LA or Stockholm, and/or have the ability to work across time zones and travel as required.

What we need

  • Right hand to the CEO, support in calendar management, travel arrangements, and meeting preparations.

  • Own the internal meeting agenda for the management team and the board.

  • Cooperate with the CEO to plan and execute management meetings and follow up on progress and outcomes.

  • Be the “air traffic controller” for the senior management team and help the CEO move the ship forward.

  • Support execution of larger events and company-wide meetings such as Town Hall, Management Welcome calls with new hires, etc.

  • Support the CFO and VP People with company-related admin such as access to co-working spaces, company mail, or team-related admin.

  • Drive ad-hoc projects that do not neatly fit within the organizational chart or that fall between departments or leadership areas of responsibility. For example, company-branded merch or last-minute executive networking meetings.

  • Salary | The comp range for this salary is $60,000-$90,000, depending on experience and location.

Who you are

  • Experienced and bring know-how from a previous role with similar dynamics e.g. high end executive assistant in a fast-paced environment or chief of staff at a start-up
