Rud Pedersen Public Affairs is a leading, fast-growing European public affairs and communications consultancy with offices across Europe. With around 60 team members, our growing Brussels’ office is focused on the delivery of integrated European Affairs and Communications support to its clients across a broad range of sectors.

As a result of continued growth, our operations function has increased its range of responsibilities and we are now looking for an experienced Office Manager/Executive Assistant to ensure that the quality of services delivered internally and externally are to the highest standards. This is a dynamic, newly created role with the opportunity to shape it into your own.

Based in our newly designed Reception area, you will act as first point of contact for all visitors to the office, ensuring they are received and attended to in a professional but welcoming manner. In addition, your general responsibilities will include:

Office Management

  • Key contact for all workplace-related queries including maintenance, cleaning, post, supplies, stationery, and equipment, liaising with the landlord, cleaners, and suppliers & managing incoming invoices

  • Responsible for keeping the kitchen stocked with supplies.

  • Coordinating internal and external events for the management group

  • First point of contact for IT issues.

  • Partner with HR Manager to update and maintain office policies as necessary.

  • Assist in the onboarding process for new hires

Executive Assistant

  • Diary administration- Organising and booking internal and external meetings and taking care of all the logistics

  • General administrative support on a daily basis, working to agreed deadlines

  • Arranging travel (both within Brussels and Internationally), booking hotels, transfers and taxis

  • Support ad-hoc project-based work and research

  • Take ownership, improve and provide feedback on current processes

Skills & Requirements

About you:

  • Experience in a similar role in a fast paced environment

  • Oriented to excellence in the delivery of customer service (Internal/External)

  • High level of integrity and discretion in handling sensitive and/or confidential information

  • Excellent time management skills and a natural problem solver, you can think quickly on your feet and adapt to the situation

  • Ability to stay calm in stressful situations and always take a proactive approach

  • You are a relationship builder and enjoy interacting with people at all levels

  • A creative and enthusiastic mind with an ability to suggest improvements but never afraid to ask for further clarification when needed

  • Excellent written and verbal communication skills, in English with strong attention to detail

2021We entered the Polish market by establishing a representation office in Warsaw.

2022We opened three new offices in Warsaw, Poland; London, UK and Sofia, Bulgaria. Additionally we welcomed VA Communications of Latvia and CNTVRS, France to our group! In total, adding five new markets to our footprint.
