Job Description

Vendor Clearing Desk Clerks (VCD Clerk) are responsible for approving invoices of Arelion’ s main suppliers based on business and network databases, correcting database and invoice data as needed in cooperation with responsible budget owners and vendor managers. This role is based in Warsaw, Poland.

Key responsibilities:

  • Match invoice items to Purchase Order (PO) and Assignment data fields in Salesforce
  • Approve invoice in Palette if all data is correct
  • Otherwise, research and rectify data errors in Salesforce
  • Or raise accounting/coding issues to Finance via in Palette
  • Or raise invoicing mistakes to buyer / budget owner
  • Update PO status and link/upload invoice to PO (for CAPEX)
  • Report volumes and data quality statistics
  • Retrieving data from vendor portals for checking missing PO or invoice details
  • Review processes and way of working and propose improvements
  • Participate in data quality projects
  • Prepare progress reports and KPI measurements

  • Service Delivery & Procurement colleagues who order services
  • Budget Owners from various teams in Networks
  • Accounting/Finance
  • Other members of the Operations Department

Key external relationships:

  • Suppliers billing contacts to clarify information such as PO number
Skills & Requirements

ROLE SPECIFIC SKILLS

  • Basic knowledge of invoice procedures
  • General computer skills (Excel, Outlook and other MS Office)
  • Advanced Excel skills highly desirable
  • Experience with Salesforce or any CRM (Customer Relationship Management) system would be an advantage
  • Experience with extracting data / report writing in any CRM systems highly desirable
  • Comfortable with numbers, mathematics, formulas
