Order Management Specialist

Northvolt is establishing its first facility to industrialize and produce battery systems. In order to meet the increased demand for complete battery solutions on the European market, we are establishing a highly automated, state-of-the-art production facility for battery modules and energy storage solutions in Gdansk, Poland.

Currently, we are looking for Order Management Specialist who will be responsible for receive and process incoming orders for materials and finished goods, coordinating deliveries and maintaining the master data for prices and customer details.

Responsibilities:

  • Track orders and ensure timely delivery
  • Confirming orders in the ERP system
  • Assigning orders to a specific buyer, collecting order execution statuses
  • Verify the correctness of the order
  • Reviewing orders for completeness and forwarding incomplete orders for further processing
  • Preparing reports of new, pending and future orders
  • Input orders into database and maintain the data
  • Collaborate with the finance team to set sales prices and update prices in the system
  • Preparing work orders for material picking in the ERP system for sales orders
  • Contact with Swedish and Polish teams to verify the execution of orders and set priorities
  • Forwarding information to the correct departments for delivery of the order
  • Respond to customer problems or complaints
  • Informing customers about prices, shipping dates, and anticipated delays
  • Coordinating shipments with the logistics department
  • Performing other tasks assigned by superiors.

Qualifications / Experience:

  • Relevant University Degree.
  • Prior work experience in a similar field is preferred
  • The ability to handle customer complaints in a professional and calm manner.
  • An excellent rapport with customers

  • Analytical thinking, and excellent attention to detail

  • Willingness to participate in on-the-job training

  • Excellent written and verbal communication skills

  • Fluency in English.
  • Proficiency using Microsoft Suite (especially Excel).

We are currently in an exciting fast-growing phase and operate in a dynamic environment, dealing with a wide range of stakeholders. We are staffing our international office in Stockholm, our R&D facility, Northvolt Labs in Västerås, as well as Northvolt Battery Systems Jeden, in Gdansk, for production of battery systems. We are also preparing for upcoming positions at the main factory, Northvolt Ett, in Skellefteå.
