Project Coordinator/Project Support Role

We are seeking a talented project coordinator who can work seamlessly across multiple projects. The ideal candidate must be switched on, hands-on, enthusiastic, and personable. You will be working closely with our designers, as well as managing third-party relationships and client queries. You will provide organisation and workflow guidance to facilitate the different external and internal projects. This role will be a point of contact for all teams!

In order to master in this role, your skills will include:

  • The ability to work in a dynamic and fast-paced environment
  • Good presentation and facilitation skills; you are a talented communicator and comfortable presenting to and managing various stakeholders in projects daily.
  • Being highly organised to manage multiple tasks and projects with competing priorities
  • Thorough attention to detail
  • Knowledge in project delivery e.g., Agile, Waterfall and Scrum methodologies
  • Being proactive rather than reactive and have great problem-solving skills

About the role:

You’ll be working with our Project Manager, and alongside our growing multidisciplinary team of experienced, engaged, and talented designers who are super keen to collaborate. We want you to succeed, and we’ll all help you get there!

On a regular day at Hellon, you will:

  • Communicate with our clients on project-related activities and deliverables e.g., coordinating key milestone dates, organising stakeholder interviews, receiving desktop study material etc.
  • Manage the recruitment process for research with our recruitment agencies, and arrange interviews, including setting up meeting links and invites.
  • Work closely with the design team to create recruitment briefs for qualitative and quantitative research.
  • Create project timelines, and keep them up to date. Manage client expectations and ensure iterated timelines are communicated to the client.
  • Send key documentation to the client for feedback/sign-off via a method agreed upon by the designers/client.
  • Assist the design team with any Taimer (Hellon project and resource management tool) related questions.
  • Help the design team with any adhoc queries
  • Coordinate and setup meetings
  • Have fun and enjoy working with your Hellon team
