Introduction
If you apply for a job or get in touch with Planhat through Jobylon’s service, your personal data will be registered with and processed by Planhat.
- If you apply for a job within EMEA, Planhat AB, company registration no. 556991-6421, will be the controller of your personal data.
- If you apply for a job in the UK, Planhat Ltd. Company no. 13960137, will be the controller of your personal data.
- If you apply for a job in the US, Planhat, Inc. will be the controller of your personal data.
In the following, the Planhat companies are separately and together called “Planhat”.
Purpose and legal basis of processing
The purpose of the processing is to enable Planhat to handle the recruitment process in question. The legal basis for the processing is agreement since it precedes a possible employment agreement with you.
In addition to this, and if you agree to it, we will keep your data for the purpose of possible future recruitments. Your consent to this processing is given separately. You can always withdraw your consent by contacting [email protected]. The information submitted by you in the application for the role you are currently applying for, might then be used for recruitment to other positions with Planhat.
Information collected and use of the information
Most of the data processed is supplied by you, yourself. Information may, however, also be collected using publicly available sources. Your personal data is processed in a conventional and regular recruitment manner. The key steps being collection, storage, evaluation, contacts and deletion. Such processing is necessary in order to facilitate the recruitment process, which is in the legitimate interest of the employer. Only data necessary for the purpose of the recruitment will be processed, such as name, contact details, professional data (for example work history, education and seniority), salary expectations and records to evaluate your suitability to the role. If you are selected for an interview in a certain recruitment process, the interview will be documented in notes/a protocol. We may also use personality tests and background checks as a step in some recruitment processes. We will always notify you if this is relevant in your case.
Any data collected is used solely for recruitment purposes, including statistical purposes, e.g. demographic analyses of applicants, unless otherwise explicitly stated. Such data is processed only in aggregated and non-identifiable form.
When we share your personal information with others
Planhat will not disclose your personal data to unauthorized third parties. Your personal data will only be shared with relevant personal data processors when needed in relation to the purpose for the processing. For example, Jobylon acts as a data processor when Jobylon helps the employer gather your information via the recruitment tool.
Retention of personal information
Your application will be stored no more than two years after we receive your job application. The reason for this is that the employer may need to show that the employment procedure was non-discriminatory. The employer does not, however, have any obligation to save the data you provide.
If you have consented to us saving your data for the purpose of possible future recruitments, we will process the data for this purpose for 24 months, unless you withdraw your consent before then. If you choose to renew your consent after the initial 24 months, the data will be processed for 24 additional months.
Your rights
You have the following rights in relation to your personal information:
- Right to access: a right to obtain confirmation and information about the processing of your personal information.
- Right to rectification: a right to have your personal information corrected.
- Right to erasure: a right to have your personal information erased.
- Right to object: a right to object against our processing if the legal ground for the processing is based on a balancing of interests or if it is used for direct marketing.
- Right to restrict data processing: a right to demand that the processing of personal information is restricted, e.g. if you oppose the correctness of the data.
- Right to data portability: a right to request that personal information be sent from one data controller to another. This right is restricted to data which you have submitted to us.
